Patient care doesn’t stop during the holiday season. With a customised holiday script, your callers can continue receiving great care while your team enjoys some well-deserved time off.

With holiday scripts, you can make sure that your practice stays open, organized and caring, even when your doors are closed.

What is a holiday script?

A holiday script is a customized call flow that WellReceived receptionists use during your practice closures or limited hours.

It temporarily replaces your regular greeting with a holiday message, such as:

With this script in place:

  • Routine messages are logged for follow-up after reopening.
  • Patients always hear the accurate information about your availability.
  • Urgent calls are escalated to the correct on-call provider.

With this, your practice can stay responsive and reliable even when your staff are away.

How can I create or update a holiday script?

If you don’t already have a holiday script, our Client Services team can help you set one up.

When creating or updating your script, you can customize:

  • Your holiday greeting message
  • Who should receive urgent call escalations
  • What to do with non-urgent messages
  • Any special instructions for your on-call team

If you already have a holiday script from last year, please take a quick moment to review and confirm that your hours, providers, and instructions are still current before the season starts.

To get started, simply contact our Client Services team by calling 877-381-4105 or email care@wellreceived.com

How does it work?

Once your holiday script is created, it automatically activates on the closure dates you set in your app.

Here’s what happens:

  • A patient calls your practice during a holiday.
  • Your WellReceived receptionist greets them using your custom holiday script.
  • Urgent calls are routed to your preferred on-call provider, as defined in your instructions.
  • Non-urgent calls are noted for your team to review later.

It’s fully automated and there’s no need to manually switch anything on or off.

Mark your holiday closures in the app

To make sure your holiday script activates at the right time, set your closure dates in the app.

    Here’s how:

    1. Open the WellReceived app (desktop or mobile).
    2. Go to Settings → Live Receptionist → Working Hours → Closures → Show More.
    3. Select your holiday dates or create custom closure periods.

Once these are saved, your holiday script will automatically run on those specific dates. And the best part is that you can plan as far in advance as you’d like for any upcoming closures.

    Why it matters

Setting up your holiday script is quick, easy, and ensures your patients continue to receive personalized care even when your practice is closed.

    It helps your practice:

    • Stay open to urgent patient calls
    • Protect your reputation for 24/7 support
    • Give your staff a much-needed break
    • Maintain an excellent patient experience all year long

With a few quick steps, your practice can stay connected, compassionate, and professional, all while taking time to rest and recharge.
